Refund & Cancellation Policy
Last Updated: September 2026
1. Overview
Sifr Sophia (“we”, “us”, “our”) is committed to maintaining transparency and fairness in relation to program enrollments, payments, refunds, and cancellations.
This Refund & Cancellation Policy explains the conditions under which a learner may request a refund, cancel an enrollment, or request a batch or program transfer for courses and programs offered by Sifr Sophia.
By enrolling in any Sifr Sophia course or program, making a payment, or accessing our learning services, you agree to the terms of this Refund & Cancellation Policy.
2. Registration Fee
The Registration Fee is strictly non-refundable.
The registration fee covers administrative and onboarding activities, including:
Learner registration and profile setup
LMS account creation
Dashboard activation
Enrollment processing
Administrative documentation
Once registration has been successfully completed, the registration fee cannot be refunded, transferred, adjusted, or credited toward another payment unless expressly approved by Sifr Sophia in writing.
3. Admission Fee
The Admission Fee refers to the applicable program fee excluding any separately identified non-refundable registration fee.
Once the admission fee has been received, Sifr Sophia may initiate services including:
Batch allocation
Class scheduling
LMS activation
Course content access
Trainer allocation
Learner support services
A learner may request a refund of the eligible admission fee only if a written refund request is submitted within 7 days from the date of full payment or enrollment, subject to the eligibility conditions mentioned in this policy.
Any applicable registration fee will remain non-refundable.
Refund requests submitted after the 7-day refund period will ordinarily not be accepted.
4. Eligibility for Refund
A refund request may be considered only when all applicable conditions are satisfied.
The learner must:
Submit the refund request within 7 days of enrollment or full payment.
Not have attended more than two live sessions.
Not have accessed more than 20% of the course content.
Not have substantially downloaded, copied, or used course materials.
Not have used placement assistance, career counselling, interview preparation, employer introductions, or similar career services.
Meeting these conditions does not automatically guarantee approval. Each refund request may be reviewed and verified by Sifr Sophia before a final decision is made.
5. Non-Refundable Situations
Refunds will generally not be applicable in the following circumstances:
More than 7 days have passed since enrollment or full payment.
The learner has attended more than the permitted number of live sessions.
More than 20% of the course content has been accessed.
Significant course materials have been downloaded or used.
The learner has completed or substantially progressed through the program.
Placement, career, interview, or recruitment support has already been availed.
The learner fails to attend scheduled classes, sessions, assessments, or mentoring calls.
The learner voluntarily discontinues the program after the refund eligibility period.
The learner has been removed or suspended due to misconduct or violation of Sifr Sophia policies.
Payments relating to add-on modules, external certifications, third-party services, partner-led sessions, special workshops, or separately purchased services may also be non-refundable where specified at the time of purchase.
6. Discounted & Promotional Enrollments
Programs purchased under a promotional, discounted, scholarship, subsidized, or special pricing arrangement may be subject to separate refund conditions.
Where the learner has received a special discount or customized fee structure, the applicable refund terms communicated at the time of enrollment will take precedence where permitted by law.
Learners are encouraged to review their enrollment terms before making payment.
7. Instalments & Financing
Where program fees are paid through:
Instalment plans
EMI arrangements
Financing partners
Lending partners
Buy-now-pay-later services
Third-party payment arrangements
the learner may also be subject to the terms and conditions of the relevant third-party provider.
A cancellation of enrollment with Sifr Sophia does not automatically cancel a financing, EMI, or loan agreement entered into with a third party.
Any financing-related charges, interest, processing fees, or lender obligations will be governed by the terms of the respective financing provider.
8. Refund Request Process
All refund requests must be submitted in writing to:
Info@sifrsophia.com
The request should include:
Learner’s full name
Registered email address
Registered phone number
Program name
Enrollment or transaction details
Payment proof
Reason for requesting the refund
Sifr Sophia may request additional information where required to verify the request.
Incomplete or unverifiable refund requests may take longer to process or may be declined.
9. Refund Processing Time
Once a refund request has been reviewed and approved, the eligible refund amount will ordinarily be processed within 7–10 working days.
Refunds will normally be issued to the original payment method or source, wherever technically possible.
Actual credit timelines may vary depending on:
Bank processing times
Card networks
Payment gateways
Financing partners
Payment service providers
Sifr Sophia cannot control delays caused by third-party banking or payment systems after the refund has been initiated.
10. Deductions from Refund Amount
Where applicable and permitted, certain charges may be deducted from the refundable amount, including:
Payment gateway charges
Transaction or processing fees
Applicable administrative charges
Non-refundable registration fees
Taxes or statutory deductions where legally applicable
Third-party service charges already incurred
The final eligible refund amount may therefore be lower than the amount originally paid.
11. Course or Program Cancellation by Sifr Sophia
Sifr Sophia may occasionally postpone, reschedule, merge, modify, or cancel a batch or program due to circumstances such as:
Trainer or faculty unavailability
Insufficient batch size
Technical issues
Operational requirements
Regulatory changes
Emergencies
Events beyond our reasonable control
Where Sifr Sophia permanently cancels a program and no suitable alternative arrangement is provided, eligible learners may be offered:
Transfer to another available batch or program, or
Refund of the eligible program fee.
Where the learner voluntarily accepts an alternative batch or program, the refund option relating to the original batch may no longer apply.
12. Batch Change Policy
Learners may request a transfer to another batch subject to:
Seat availability
Program structure
Trainer availability
Academic progress
Administrative approval
Batch transfer requests should ideally be made before substantial course progress has been completed.
A reasonable batch transfer or administrative fee may apply where communicated to the learner.
Repeated batch changes may be declined.
13. Program Transfer Policy
Requests to transfer enrollment from one program to another may be considered on a case-by-case basis.
Approval may depend on:
Program availability
Difference in program fees
Course progress
Content already accessed
Administrative feasibility
Where the new program has a higher fee, the learner may be required to pay the difference.
Where the new program has a lower fee, any adjustment or credit will be determined in accordance with Sifr Sophia’s applicable policies.
Program transfers are not automatic and require written approval from Sifr Sophia.
14. No Refund for Non-Attendance
Failure to attend classes, mentoring sessions, assessments, workshops, or other scheduled activities does not automatically entitle a learner to a refund.
Learners are responsible for attending scheduled sessions and completing program requirements within the applicable learning period.
Personal scheduling difficulties, changes in employment, travel, or other individual circumstances after the refund period will generally not qualify for a refund.
15. Placement & Career Services
Where a learner has already accessed services such as:
Resume preparation
Career counselling
Mock interviews
Interview preparation
Placement support
Job opportunity sharing
Employer introductions
Profile evaluation
the enrollment may become partially or fully non-refundable depending on the extent of services already delivered.
Program-specific Job Assurance or placement-related terms, where applicable, will be governed by the separate written conditions communicated for that program.
16. Refund Abuse & Misrepresentation
Sifr Sophia reserves the right to decline refund requests involving suspected:
Fraud
Misrepresentation
Payment disputes made in bad faith
Unauthorized chargebacks
Misuse of learning materials
Repeated enrollment and refund attempts
Violation of program terms
Where necessary, supporting documentation may be requested before a decision is made.
